Will the AV work on the day? AV failure is the single biggest fear for most conference organisers. A microphone that cuts out during a keynote. Slides that won't advance. A live stream that drops mid-session. These things happen when the technical team is unfamiliar with the venue, unprepared for the programme or under-resourced on the day. Studio Cube runs a full technical rehearsal before every conference. We arrive early, we test everything and we have backup solutions in place for every critical system. Our technical team is on-site from load-in to close-down.
What if a speaker drops out or changes their slides the night before? It happens at almost every conference. A speaker pulls out. Someone sends a completely new presentation at midnight before the event. A VIP adds themselves to the programme two days before the date. Studio Cube builds contingency into every conference we produce. We have a dedicated speaker management process specifically designed to handle last-minute changes without disrupting the programme.
How do I manage a senior leadership team with strong opinions about how the day should look? We have worked with enough senior stakeholders to know that strong opinions are part of the brief. Our creative process is designed to bring stakeholders with you, not around you. We present clear options, explain the rationale and give you the tools to get alignment internally before we commit to the production. When the day comes, everyone is already bought in.
What if my venue is difficult or unfamiliar? Ten years of London conferences means we have worked in most of the city's major conference venues and many of its more unusual spaces. We know which venues have loading restrictions, which have acoustic challenges and which require a specific technical approach. If we haven't worked in your venue before, we visit it before we finalise the production spec. No surprises on event day.
How do I make sure registration doesn't create a queue and a bad first impression? Registration is one of the most overlooked elements of conference production and one of the most visible. A long queue at registration sets the tone for everything that follows. Studio Cube designs and manages the full registration process for every conference we produce. Staffing levels, system setup, delegate flow and signage are all specified in advance to make sure your delegates walk in and feel like the event is well run from the very first moment.
What if something goes wrong on the day and I am the one who has to deal with it? You won't be. A senior Studio Cube producer is on-site from load-in to close-down at every conference we produce. They own the day. If something needs to be fixed, adapted or decided in the moment, they handle it. You are there to host your conference, not to manage the production.

01 Brief and Discovery
We learn everything about your conference. Objectives, audience, programme structure, speaker list, venue status and the outcomes you need the day to achieve. We ask the questions that most production companies don't ask until it is too late.
02 Concept and Technical Specification
We develop the creative and technical concept for your conference. Stage design, AV specification, room layout, delegate flow, registration plan, speaker management process and run of show. Every element documented and agreed before production begins.
03 Pre-Production
We manage every supplier, book every element, brief all staff and coordinate the full technical rehearsal. Speaker slides are collected, tested and loaded. Contingency plans are in place. You receive a detailed run of show and a single point of contact for every question between now and event day.
04 Conference Day
Our producer runs your conference from first load-in to final close-down. Technical team on-site from early morning. Registration team in position before your first delegate arrives. You focus on your programme. We make sure everything else works.
